Office Secretary
Office secretaries are expected to be knowledgeable of Intramural & Recreation rules and policies and of Cunningham Hall. The primary responsibility is to assist the head secretary and FHSU IM-REC director in general operation of FHSU IM-REC office. All hired staff is expected to look and act professionally and is responsible for wearing staff apparel.
Essential Duties and Responsibilities
- Answer the phone, take accurate messages, and provide proper information
- Greet people
- Assist director in administration of the activities in the FHSU IM-REC department
- Dress appropriately in proper uniform
- Arrive 10 minutes early to all assignments
- Attend weekly meeting
- Prepare and compile reports
- Collect and receipt money
- Overall organization and knowledge of the office
- Answer questions about Intramural activities and Cunningham Hall
- Notify team of schedules
- Other duties as assigned
Qualifications/Experience
- Current FHSU student
- Work-study recipients preferred
- Assertive and able to handle difficult situations
- Basic secretarial and computer skills
Skills
- Effective communication skills
- People skills
- Computer knowledge
- Typing skills
- MS Office skills
- High proficiency in grammar and spelling
Certificates, Licenses, Registrations
- CPR/First Aid certifications preferred
Physical Demands
- Occasionally, secretaries may be asked to walk across campus and run errands. Also, secretaries may be asked to organize the storage closet, which may involve some light lifting and climbing.
Work Environment/Environmental Conditions
- When several people are in the office, the noise level is generally quite high. There is constant traffic.
Hours & Pay
Typically these positions range in hours from 10-20 hours per week. Because these positions are through FHSU Work Study, the pay is minimum wage.
