What to do if an injury occurs on the job:
Notify your employer immediately. Per K.S.A. 44-520, a claim may be denied if an employee fails to notify their employer within the earliest of the following dates: (A) 20 calendar days from the date of accident or the date of injury by repetitive trauma; (B) if the employee is working for the employer against whom benefits are being sought and such employee seeks medical treatment for any injury by accident or repetitive trauma, 20 calendar days from the date such medical treatment is sought; or (C) if the employee no longer works for the employer against whom benefits are being sought, 10 calendar days after the employee's last day of actual work for the employer.
After-Injury Procedure:
1) Notify your supervisor immediately.
2) Go to the nearest emergency room for life-threatening or limb-threatening injuries.
3) Obtain authorization for medical treatment by calling the 24/7 Nurse Triage line at 1-833-756-2007 in non-emergency situations to assist in determining care and compensability. It is recommended that the injured employee call in with their supervisor present. Please review information at the State Self Insurance Fund's Frequently Asked Questions.
4) Contact WorkSMART, 785-623-6270, for injuries that are not a threat to life or limb to schedule an appointment. The WorkSMART office is located at 2509 Canterbury Drive, Hays, Kansas, in the same building as Hays Family Medicine.
5) Take a First Fill Letter with you to your initial contact with medical personnel to assist with any prescriptions that may be ordered.
6) Inform medical provider that the injury occurred at work.
7) Within 24 hours of the injury, provide all information necessary for filing a claim to your supervisor and the Human Resource Office.
8) Human Resources files a claim at the State Self Insurance Fund portal: https://mobile.ventivtechnology.com/

Prescription Information:
All new claims are covered by a prescription program through CorVel. Should medication be prescribed following an injury to a state employee, a First Fill Letter must be presented to a participating pharmacy within 24 hours in order to be covered by CorVel insurance. Please call (800) 563-8438 for a list of participating pharmacies.
The First Fill Letter can only be used for the first prescription(s) related to this work-related injury and cannot be used for obtaining unrelated medications. Payment for the prescription may be denied if the injury is not reported by the supervisor through the web portal within 5 days after injury.
If the injury claim is determined to be compensable, the prescription will be approved and the employee will receive a CorVel Prescription Drug Card in 3 to 4 days. The card should be used for any additional prescription refills related to the injury. The CorVel Prescription Drug Card will remain valid until the employee is fully released from care, up to a maximum of six months. If medical treatment extends beyond a six-month period, the employee's prescriptions may be transferred to a mail-order program, which will be handled by the State Self Insurance Fund. A new CorVel Prescription Drug Card is issued for each subsequent work-related injury.
If the claim is not compensable, the employee will receive a statement indicating the claim has been denied and the employee will need to submit any bills related to the denied claim to their health insurance provider.
Fort Hays State University is subject to the Kansas Workers Compensation Law which provides compensation for job-related injuries. All work-related injuries to faculty, staff or student employees should be promptly documented and reported, even if medical attention is not immediately sought.
