DETAILS FOR FACULTY LEADERS
The FHSU Alnwick faculty-led short-term summer program is open to faculty leaders with all levels of experience and from all disciplines employed by Fort Hays State University.
Faculty leaders who complete the Interest Form will be considered for teaching on-site summer courses at Alnwick Castle the following summer. The Faculty Leader Interest Form will be open each Spring term from January 1 to March 1.
About 14 months prior to the program start date, the Course Proposal Application will be open from April 15 to May 15 on Tiger Travel. Course proposals will require an approval letter and recommendation from the department chair and college dean and a final and approved syllabus.
Selected courses will be announced by June 1, one year prior to the program's start date.
Faculty leaders of the final selected courses will be asked to submit a Commitment Form on Tiger Travel by July 15 (one year before the program start date) which will require confirmation by the chair, dean, faculty leader, and replacement instructor.
FHSU Global Affairs will host a Faculty Leader Orientation in September.

Responsibilities of the Faculty Leader
The faculty leader will be responsible for the following:
- Design and teach a 4-week online summer course while living onsite at Alnwick Castle.
- Serve as the point of contact and administrator on Tiger Travel for your course applications.
- Review and accept all student applications on the Tiger Travel platform.
- Monitor submission of all pre-departure forms on the Tiger Travel platform.
- Attend all orientation sessions hosted by FHSU Global Affairs.
- Review all health and wellness needs of each student traveler and take special consideration of students with accommodation or health or wellness needs.
- Oversee risk management for students before departure and while on program.
- Travel with the group to and from Alnwick Castle.
- Serve as a supervisor and mentor for student travelers during travel and while on program.
- Oversee the collection of deposits and final payments from students with department administrative assistance.
Department Responsibilities
The hosting department will be responsible for the following:
- Add the FHSU Online summer course to Workday and advise students through the registration process
- Compensate the faculty for the online summer course load
- Provide financial support for lodging, meals, and travel expenses as determined by the department
- Assist with marketing and recruitment of students
- Collect down payment and final payment from students registered in the respective course
- Send final payment for students and faculty to the FHSU Global Affairs Office
- Track payments and forms submissions with the FHSU Alnwick collaborative tracking form
- Support the faculty leader during pre-departure planning
- Attend the mandatory orientation for faculty leaders and administrative assistants in September

Provost Funding
All faculty leaders will receive a $1,000 travel stipend from the provost to supplement their expenses.
In addition, faculty leaders will receive a $500 Mentoring and Development stipend to apply to their travel expenses.
Faculty leaders will work with their department and college to request support for any expenses associated with the FHSU Alnwick program.
Faculty Leader Program Package Cost
Faculty leaders will pay the FHSU Global Affairs Office for the Faculty Leader Program Package fees.
Department payments will be administered by the department’s administrative assistants who will pay the designated cost center through Workday. Any portion of the program package cost not covered by the department or college will be the responsibility of the faculty leader.
Additional expenses outlined in the budget are the responsibility of the faculty leader and/or department and are not included in the program package cost paid to FHSU Global Affairs.

Collection of Funds For Student Travelers
FHSU departments will collect all deposits and final payments from student travelers who have applied for the respective courses offered by each department. Departments and administrative assistants will follow all processes and procedures as outlined in the FHSU Alnwick Payment Process & Guidelines.
Administrative assistants will track all payments and form submissions on the FHSU Alnwick collaborative tracking form provided by the FHSU Global Affairs Office. Information on the tracking form will be provided at the Faculty Leader orientation.
The faculty leader and hosting department will design the 4-week online summer course associated with the 3-week onsite study abroad program. Each department will add its FHSU Online course to Workday for the summer term of the program. The faculty leader and department will assist students with course registration as needed. Students will register and pay tuition for the course through Workday.
The faculty leader will submit a Course Proposal Application on Tiger Travel by May 15 (15 months before the program begins). FHSU Global Affairs will review all course proposals and will select the final course roster by June 1. If selected, the faculty leader will submit a Commitment Form by July 15 on Tiger Travel.
Accommodations & Meals
Faculty leaders will live onsite at Alnwick Castle for the 3-week program in private bedrooms offering a queen-sized bed and ensuite bathroom. Faculty traveling with families can upgrade to a furnished faculty flat offering three bedrooms. The faculty flats are above the Barbican and come with an extra charge of $105 per night.
A shared kitchenette for preparing meals and snacks is located close to the faculty private bedrooms. In another area of the castle, a large communal kitchen, commons area, and dining room are also available. A public cafeteria and food trucks are also available onsite during the week for snacks and lunches. A continental breakfast will be served Monday-Friday at no additional cost. In addition, a lunch voucher is provided to all participants to be used at the onsite cafeteria Monday-Thursday. Evening dinner meals are not included in the program package.
During the weekends, students and faculty can choose to either eat at a local eatery or prepare one’s meals. A food market is within walking distance, located two blocks from Alnwick Castle. Meals during the optional open-travel weekend are the responsibility of each participant and are not included in the program package fee.
Excursions
Two day-excursions will be included in the program package fee:
- York (week 1)
- Coastal Castles (week 2)
There will be two overnight weekend excursions included in the program package fee:
- Hadrian’s Wall and the Lake District (1 overnight)
- Edinburgh, Scotland (1 overnight)
Transportation and lodging will be provided for day and weekend excursions included in the program package.
All group flight itineraries will be purchased through StudentUniverse, an online travel agency that offers discounted flights for students. All group flight itineraries will be posted on the FHSU Student Universe Landing Page. Faculty leaders and student travelers will book their airfare through the group booking portal and make payments directly to Student Universe. The FHSU Study Abroad Office will determine all group flight itineraries.
Information about all group flight itineraries will be shared at the All-Traveler Orientation in February.
In-Country Transportation
Transportation during the program will be one of the following:
- Private coach (airport pickup and excursions)
- National Rail system (there is a train station close to Alnwick)
- Public bus (there is a bus station 2 blocks from Alnwick Castle)
