To request space in the Memorial Union or to reserve Beach/Schmidt Performing Arts Center; call (785) 628-5305, email fhsuunion@fhsu.edu, or visit us in room 208 on the 2nd floor of the Memorial Union M-F 8 a.m. - 4:30 p.m.
The Fort Hays Memorial Union is currently taking reservations through July 31st, 2026. Reservations for fall 2026, spring 2027 and summer 2027 will open up on the Monday following Spring Break, 3/23/2026.
When making a reservation, please inform the reservationist of the date, time, number of people attending, desired setup, and any other special needs for your event. Special needs could include technical equipment, catering, personnel, etc. The reservationist will find the most appropriate room based on your needs and send you an e-mail confirmation.
Please keep the reservationist updated with any changes to your event to ensure your program's success.

Last-minute requests may not be able to be accommodated.
The policy at FHSU is that all catering requests be done through The Union Catering Company, we do not allow outside groups to cater in the Memorial Union nor do we allow groups to provide their own food and beverages for events. We request that you contact Union Catering Co. first and if they are unable to meet your needs then you may submit a Catering Exception Request (please note the exception request only apply to FHSU departments and Student Organizations), see links below.
After Hour Fees
Fees for using the building after regular operating hours will be:
Off-campus groups - $200/hour
University departments and student organizations- $100/hour
*These fees will be waived for major University events at the discretion of the Memorial Union.
Conference Fees
A conference is defined as any event where the sponsoring groups charges a registration fee to attendees and participation is open to on- and off-campus guests.
Conferences will be charged regular room rental rates; however conferences sponsored by University department and student organizations will receive a 50% discount on meeting room rates.
Deposits & Refunds
Any reservation that incurs rental rates or other fees will be charged a 50% deposit in order to confirm a reservation. The remainder of fees will be due 30 days after receipt of invoice following the event.
Deposits are fully refundable for events canceled at least 30 days in advance.

Rental Fees
Booking a Space for Multiple Dates/Reoccurring Bookings Form
Please click the link for the form if you will need to book your event for multiple reoccurring dates/times, i.e. weekly meetings for the semseter on Tuesdays. The Union will need this form in order to process your request.
Cleaning & Damages Fees
Fees for repairing damages or excessive cleaning will be:
Maintenance services - $30/hour
Custodial services - $30/hour
